S G Balekundri Institute of Technology (SGBIT), Belagavi, is committed to transparent, equitable, and accountable governance. All institutional policies are framed in strict compliance with directives of AICTE, VTU, UGC, NAAC, NBA, and the Government of Karnataka. Policies are reviewed annually by the Internal Quality Assurance Cell (IQAC) and ratified by the Governing Council to ensure relevance, fairness, and legal compliance.

These policies govern academic excellence, student welfare, faculty development, financial integrity, and campus safety — forming the backbone of SGBIT's commitment to quality education and holistic development.

Financial & Procurement Policies

  • Fee Structure: Tuition fees approved annually by the Fee Regulation Committee (FRC), Government of Karnataka. Fee once paid is non-refundable except as per UGC cancellation guidelines.
  • Procurement Policy: Purchases up to ₹10,000 — direct procurement; ₹10,001–₹1,00,000 — minimum 3 quotations; above ₹1,00,000 — Governing Council approval and tender process.
  • Audit & Accounts: Annual accounts audited by a Chartered Accountant empanelled by the SSET Trust. Internal audit conducted quarterly. Utilisation Certificates submitted to AICTE within due dates.
  • Scholarship Endowment: Funds received for scholarships and endowments maintained in a ring-fenced account, disbursed through a Scholarship Committee chaired by the Principal.
  • Anti-Corruption & Ethics: Zero tolerance for bribery and financial misconduct. Complaints to be filed with the Principal confidentially. Whistleblower protection guaranteed.
  • Budget Approval: Annual budget prepared by Finance Officer, reviewed by Finance Committee, and approved by Governing Council before April 1 each academic year.

IT, Library & Infrastructure Policies

  • IT Usage Policy: Campus Wi-Fi and computer lab access limited to registered students and staff for academic purposes. Misuse, hacking, and unauthorized access lead to immediate suspension of privileges and disciplinary action.
  • Data Privacy Policy: Personal data of students, faculty, and staff collected only for academic and administrative purposes. Stored securely and not shared with third parties without consent, in line with IT Act, 2000 and DPDP Act, 2023.
  • Library Policy: Books issued for 14 days; reference books for 1 day. Overdue fine: ₹2/day per book. Digital library resources accessible via campus network 24×7. Loss of books charged at double the current price.
  • E-Resource Policy: NPTEL, VTU e-learning portal, DELNET, Shodhganga, and subscribed journals accessible from campus and via VPN. Downloads for personal academic use only; redistribution prohibited.
  • Infrastructure Maintenance: Preventive maintenance schedule for all labs, equipment, and civil infrastructure. Labs upgraded as per AICTE norms every 5 years or as technology mandates.
